Duplicates & Data Problems

The Three Patterns Behind the Leak

1. Open House is a black hole

Every open-house-sourced lead is either never called (Thompson), gone dark after sign-in (Nguyen), duplicated (Martinez), or still on paper (the batch of 11). The team's best in-person source has a 0% follow-through rate.

2. "Hot" gets worse service than "Warm"

The three hottest opportunities — Martinez (41 days dark), DiStefano (overdue during his interview week), the Kims (missing phone) — are the most neglected rows in the file.

3. Two agents, two different failure modes

Dana holds nearly all the stale inventory (Chen 79d, O'Brien 158d, Okafor 124d, Thompson 51d). Ryan responds fast but never sets a follow-up date, so his new leads quietly become Dana-style stale leads in a month.

Dana calls. He's interviewing two other agents right now. Don't "check in" — book the listing appointment. Get his email on the call.

Ryan emails today (no phone on file — getting one is ask #1). A blown referral also burns the Nguyens, the past clients who sent them.

"The Nguyens told us great things — here's the game plan for a sell-and-buy: we list your home, run the Poway search in parallel, and I'll show you how the contingency works so you're never homeless in between. When can I walk your current house this week?"

3. Jennifer Martinez $34K lease ends Sept 1

Resolve the duplicate FIRST so both agents don't call. To close by Sept 1 she must be writing offers within ~2 weeks. Bring concrete listings and a date, not "are you still looking?"

"Jennifer, I owe you an apology for the gap. Here's the math: to be in by September 1 we should be writing offers within two weeks. I've pulled three fresh Carmel Valley 4-bedrooms near the schools you wanted — can we tour Saturday?"

4. The Hendersons $70K biggest number in the file

Dana calls with the answer to the exact question stalling them: how to buy at $1.6M before selling at $1.2M.

"I built out your three options — contingent offer, bridge loan, or a HELOC on the Scripps Ranch house — with a net sheet for each. Thirty minutes this week and you'll know exactly which one fits."

5. Tom Bradley $36K wife tours Aug 8–10

Dana calls. If a tour itinerary isn't in his wife's inbox this week, they tour with a Zillow-assigned agent.
